Step-by-Step Guide
Install and Log In to the Ctrl Hub Mobile App
- On your Android or Apple device, open the Google Play Store (Android) or Apple App Store (iOS)
- Search for Ctrl Hub and select the official app from the results
- Select Install and wait for the app to download and install on your device
- Once installed, open the Ctrl Hub app
- Follow the on-screen login prompts to authenticate using your Ctrl Hub credentials
- After a successful login, you’ll be directed to the home page
View Your Assigned Operations
- On the home page, you’ll see Today’s Operations — operations scheduled for today’s date
- To view all your assigned operations, select VIEW ALL
- You’ll see a complete list of all operations assigned to you
- Select Operations from the bottom toolbar to access the full Operations page at any time
- Your assigned operations are listed along with their current status
View an Operation
- From your Operations list, tap on the operation you wish to view
- The operation detail page will display all key information including:
- Scheduled start and end dates
- Associated documents
- Linked properties
- Mandatory and optional forms assigned to this operation
- Review all details before beginning any work on site
Start a Form Submission
- From your list of operations, select the operation where you want to start a form submission
- When the operation page opens, view the Associated Forms section
- Select the form you want to complete (for example, Service Card)
- Begin populating the form fields with the relevant data
- Use the Next button to move between form pages
- Fill in all required fields as you progress through the form
Save Your Draft Submission
- While filling out a form, if you need to pause before completion, you can close your submission at any time
- Your progress is automatically saved as a draft — no manual save is required
- The draft submission will appear in the Recent Draft Form Submissions section on your home page
- You can return to the submission at any time to continue where you left off
Continue and Complete a Draft Submission
- On the Ctrl Hub app home page, locate the Recent Draft Form Submissions section
- Select the draft submission you want to continue
- Use the Next button to navigate through the submission to where you left off
- Continue filling in all remaining required fields
- When all sections are complete, select Submit
- If prompted, use the Previous and Next buttons to identify and complete any empty required fields
- Select Submit to finalise the submission
Create Submissions While Offline
- Once your device has synced data, you can continue to work offline without an active internet connection
- Select an operation from your Operations list
- Select the required form (such as Service Card) from the Associated Forms section
- Fill in the form completely, using the Next button to move between pages
- If prompted, fill in any empty required fields before continuing
- When you have completed all required sections, select Submit
- If prompted again, fill in any remaining required fields and select Submit once more
- The submission will be saved as Pending — it will be held until a data connection is restored for final submission
Submitting Offline Submissions When Connectivity Returns
When your device connectivity to a Wi-Fi or mobile data network is restored, any form you submitted whilst offline will be published automatically. Follow these steps to check on the status of your submitted —> published submissions.- Open the Ctrl Hub app
- Select Forms from the bottom toolbar
- Select the Submitted tab to view your pending submissions
- Wait a few moments for the app to automatically attempt to upload any pending forms
- Check the Published tab — your submission should now appear there with a status of Published
- If your submission still shows as Submitted, open it and select Submit again to retry the upload
Access Documents on Your Mobile App
- You will have access to all documents attached to the project you are working on through the Operations area
- On an operation detail page, you will see links to the associated Scheme and Work Order
- Select Go to Scheme to open the scheme page
- Select Scheme Documents and navigate to the folder relevant to your role — you will see main folders which can be expanded to reveal sub-folders and individual documents
- Document expiry dates are displayed alongside each file — always check these before use
- Tap on a document to download it to your device. Previously downloaded documents will be indicated on screen
